The Administrative Assistant performs various administrative and office support activities for the office. The position includes answering phones, making copies, word processing, and preparing submission packages.
• Answer multi-line telephone system and direct calls accordingly.
• Receive and direct clients and/or visitors.
• Responsible for document and plan reproduction, word processing, filing, and sending faxes.
• Make plan sets.
• Assist in preparation and finalization of client proposals.
• Prepare and coordinate reports and engineering submission packages.
• Maintain office files, documents and environment.
• Schedule meetings and conference calls as required.
• Handle daily distribution of external and internal mail. Ensure outbound mail is processed timely.
• Perform other duties as assigned.
• High School Diploma required; Associate’s Degree or Business School Certificate a plus.
• 2+ years’ experience in an office environment and/or administrative role required.
• Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint.
• Well-organized and highly motivated.
• Excellent written, oral communication and customer service skills.
• Must be able to prioritize work and multi-task.
• Self-starter who can work independently and with team members.
• Critical thinking skills and the ability to problem solve are a must.
