Join Our Team as a Strategic Events Coordinator!


Are you passionate about creating impactful experiences that drive business growth? We’re looking for a dynamic, detail-driven, and proactive Strategic Events Coordinator to take the lead in planning and executing conferences, trade shows, client meetings, and high-profile events.
In this role, you’ll:

  • Shape Strategy: Partner with Client Managers in pre-event planning sessions to align goals and maximize ROI.
  • Leverage Insights: Use our CRM to uncover soft leads and strengthen relationships with existing clients.
  • Drive Impact: Conduct post-event debriefs to measure success, gather feedback, and continuously improve.
  • Stay Ahead: Research and recommend the most relevant industry events to keep us at the forefront of opportunity.

Responsibilities

What You’ll Do!

 

  • Own the Intake Process: Field event requests and capture all essential details to streamline approvals.
  • Drive Strategic Planning: Lead pre-event strategy sessions with internal stakeholders to define objectives, target audiences, and messaging that resonates.
  • Handle the Details: Manage attendee registrations and secure accommodations to ensure a seamless experience.
  • Champion Brand Consistency: Collaborate with Marketing to deliver cohesive branding across all materials—collateral, signage, and communications before and after the event.
  • Measure Success: Conduct post-event debriefs to gather feedback, evaluate ROI, and uncover opportunities for improvement.
  • Keep Momentum Going: Track follow-up actions to ensure technical teams maintain engagement with prospects.
  • Stay Ahead of the Curve: Maintain a master calendar of industry events and research new opportunities that align with business goals.
  • Report with Impact: Prepare detailed post-event summaries for quarterly Board discussions with the Head of Marketing.
  • Master Logistics: Oversee trade show and client event logistics from start to finish.
  • Manage Budgets: Track and reconcile event expenses to keep everything on target.
  • Be a Team Player: Support additional marketing initiatives and projects as needed.

Qualifications

What We’re Looking For!

 

  • Experience that Counts: 3-5 years working with professional service consulting firms—bonus points for multidisciplinary engineering expertise.
  • Educational Foundation: B.S. in Marketing or a related field that sets you up for success.
  • Tech-Savvy: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfortable navigating digital tools.
  • CRM Know-How: Familiarity with CRM platforms—Deltek experience is a big plus!
  • Organizational Pro: Exceptional ability to stay organized and keep projects on track.
  • Multitasking Master: Skilled at juggling multiple priorities without breaking a sweat.
  • Communication Rockstar: Excellent written and verbal communication skills to connect with internal teams and clients.
  • Flexibility: Occasional travel to NJ and PA office locations may be required.

The salary range for this position is $65,000-$70,000
